PROPOSAL SPECIALIST (AEC)

We are seeking a detail-oriented and creative Proposal Specialist to join our growing marketing team. This role is ideal for a strong technical writer with experience in the Architecture, Engineering, and Construction (AEC) industry who thrives in a deadline-driven environment and has a passion for producing high-quality pursuit and marketing materials. You will play a key role in supporting marketing and business development efforts through proposal production, branded collateral, and marketing initiatives across commercial and governmental submissions.

Key Responsibilities

• Support and assist with the production of proposals, qualifications, RFQs/RFPs, and presentations for AEC pursuits

• Develop clear, compelling technical content by collaborating with project managers, engineers, architects, and leadership

• Write, edit, and proofread marketing materials to ensure accuracy, consistency, and brand alignment

• Assist in coordinating proposal schedules, compliance requirements, deliverables, and internal deadlines

• Design and format proposal materials using Adobe InDesign while maintaining firm branding standards

• Maintain and update marketing databases, resumes, project descriptions, and boilerplate content

• Coordinate graphics, layouts, and visual assets to enhance proposal storytelling and compliance

• Support additional marketing initiatives such as case studies, award submissions, and promotional materials as needed

• Prepare and assist with state and federal submissions, including SF330 forms and associated supporting documentation

Qualifications

• 4+ years of hands-on marketing or proposal experience within the AEC industry (experience prioritized over formal education)

• Strong technical writing, editing, and proofreading skills

• Proficiency in Adobe InDesign; experience with Illustrator and Photoshop is a plus

• Experience managing multiple RFQ/RFP responses and deadlines simultaneously

• Experience preparing SF330s and government-related submissions is a plus

• Strong organizational, communication, and collaboration skills
